Terms and Conditions

Effective 14 October 2026 · Version 2026-10-14

These terms are an agreement between Parker Veese Limited and the club, school, association or organisation that uses Dojang Go (the Customer). Dojang Go is for clubs and organisations based in the United Kingdom. The person who accepts these terms confirms that they are doing so on the Customer's behalf and are authorised to. Please read them with our Privacy Policy.

The Dojang Go plugin is free software, licensed under the GNU General Public License. What a paid plan buys is the licence key and the services that come with it: updates, support, hosting, email delivery and the other Services described below.

1. About us and these terms

Dojang Go is provided by Parker Veese Limited, a company incorporated in England and Wales with company number 13112541, registered office 20-22 Wenlock Road, London, N1 7GU, United Kingdom, VAT number GB367576645 ("we", "us"). Contact: support@dojang-go.com (support) or infosec@parkerveese.com (data protection and legal).

These terms apply when the Customer registers for, buys, installs or uses Dojang Go, and when it confirms acceptance in the Dojang Go app.

Business use. Dojang Go is provided to clubs and organisations for use in running them, not to individuals for personal use, and the person signing up confirms this. If, despite that, you are a consumer, nothing in these terms affects your statutory rights, and any term that the law does not allow to apply to consumers does not apply to you.

Where we offer Dojang Go. For now, Dojang Go is offered only to clubs and organisations based in the United Kingdom. If a Customer is based, or uses Dojang Go, elsewhere, it is responsible for complying with the laws that apply there, and we may decline or end a licence that does not meet this condition (refunding any fees for the period not yet used).

2. Definitions

  • Customer: the club, school, association or organisation that uses Dojang Go. If the club is a company, charity or other body with its own legal identity, that body is the Customer. If it is an unincorporated association (as many sports clubs are), the Customer is the person who accepts these terms, acting on behalf of the club and its members; they may hand the agreement to a successor (such as a new club officer) by telling us.
  • Software: the Dojang Go WordPress plugin, its updates and documentation.
  • Services: the licence key and everything it unlocks or that we provide for Dojang Go: licence management, updates, support, the knowledge base, features that depend on our servers, email delivery (mail relay), association networks, and hosting of club spaces on dojang-go.com.
  • Licence Key: the key that identifies the Customer's plan and gives access to the Services.
  • End Users: the Customer's members, their parents or guardians, instructors, volunteers and staff who use Dojang Go through the Customer.
  • Customer Data: personal and other data the Customer and its End Users put into Dojang Go.
  • Data Protection Law: the UK GDPR, the Data Protection Act 2018, the Privacy and Electronic Communications Regulations 2003, and any other law on data protection or privacy that applies to the processing concerned, each as amended or replaced.

3. Who accepts these terms

The person who accepts these terms (at sign-up, or as a club administrator in Dojang Go) confirms that they are authorised to bind the Customer. If they are not, they are personally responsible to us for any loss we suffer because of that, as if they were the Customer. The Customer must keep its contact details up to date, so that our notices reach someone who can act on them.

4. The Software and your licence key

  • Free software. The Software is licensed under the GNU General Public License, version 2 or (at your option) any later version ("GPL"). Nothing in these terms restricts any right the Customer has under the GPL. Third-party components keep their own licences.
  • The Licence Key. A paid plan buys the Licence Key and the Services, not the Software itself. The Licence Key is for the Customer's own club or organisation, on the website(s) registered to it and within the limits of its plan (for example, the number of locations). The Customer must not sell, share, publish or sub-license the Licence Key, or use the Services to provide a service to other clubs, except as an association agreement with us allows.
  • Our servers. Our server software and the Services are not distributed to the Customer and are not covered by the GPL. The Customer must not interfere with, overload or try to get round licence checks or limits in the Services, or access them in ways we have not made available.
  • Modified copies. The Customer may modify the Software under the GPL, but we provide updates, support and Services only for the Software as we supply it, and a modified copy must not be presented as, or use the name of, Dojang Go (section 14).
  • Features. Features available depend on the plan. We may add, change or withdraw features, but will not materially reduce the core features of a paid plan during a period the Customer has already paid for.

5. Plans, fees, renewals and refunds

  • Prices. Prices are shown on dojang-go.com and exclude VAT, which is added where it applies. Paid plans are billed in advance through Stripe.
  • Renewal. Paid plans renew automatically at the end of each billing period, for the same period, unless cancelled. We will email the Customer's main contact before each annual renewal, and before a free trial becomes a paid plan, saying when and how much will be charged and how to cancel.
  • Cancelling. The Customer can cancel at any time, online from its account or the billing link in our emails, or by emailing support@dojang-go.com. Cancelling stops the next renewal; the plan continues until the end of the period already paid for, and then moves to the Free plan or ends.
  • 14-day money-back guarantee. If the Customer is not happy with its first paid purchase of Dojang Go, it may ask for a full refund within 14 days of paying. After that, fees already paid are not refundable, except where we are at fault, where these terms say otherwise, or where the law requires it.
  • Price changes. We may change prices by giving at least 30 days' notice before the next renewal. The new price applies from that renewal; the Customer may cancel before it if it does not agree.
  • Free plan. The Free plan is provided without charge, as it is. We may change or withdraw it on at least 30 days' notice.
  • Associations. Where an association has an agreement with us that covers its clubs, that agreement sets the fees for those clubs; these terms still apply to each club's use.
  • Failed payments. If a payment fails, we will tell the Customer and give it at least 14 days to put it right before moving the licence to the Free plan or suspending it. A licence check may allow a short grace period if our systems cannot be reached.

6. Self-hosted and hosted use

Self-hosted. Most Customers install Dojang Go on their own WordPress website. Customer Data is then stored in that website's database and the Customer's chosen hosting, which the Customer controls and is responsible for — including the website's security, updates, backups, availability and the hosting provider's terms. We have no access to it except as described in these terms (support access the Customer switches on, and email delivery through our mail relay).

Hosted. Where a Customer is hosted in an association's space on dojang-go.com, we store Customer Data on our servers, keep it secure, and take regular backups using reasonable efforts, acting as the Customer's processor under the Data Processing Terms. Backups are for recovering the service, not a guarantee against all loss; the Customer can export its data from Dojang Go and should keep its own copies of anything critical.

7. Your responsibilities

The Customer is the controller of Customer Data and is responsible for:

  • having a lawful basis for collecting and using its End Users' data, giving them a privacy notice, and obtaining any consent needed — including from parents or guardians for junior members where appropriate;
  • any special category data (such as health or medical notes) and any criminal offence data (such as DBS or disclosure check results) it records: it must have a condition for processing it under Articles 9 and 10 UK GDPR and Schedule 1 of the Data Protection Act 2018, including an appropriate policy document where one is required, and should record only what it needs;
  • the accuracy of Customer Data and how it is used, including the content of messages, newsletters, incident and safeguarding records, and its own safeguarding duties;
  • choosing who has access (for example instructor and club admin roles), removing access when someone leaves, and keeping passwords and the Licence Key secure;
  • keeping its own website, WordPress and plugins up to date and backed up (self-hosted Customers); and
  • responding to its End Users' data protection requests, with our help where we hold data as its processor.

8. Acceptable use and email

The Customer must not use Dojang Go to break the law, to infringe anyone's rights, to upload malicious code, to harass anyone, or in a way that interferes with the Services or other customers.

Email delivery. When the Customer sends email through our mail relay, the Customer is the sender and is responsible for its content and for complying with the law on electronic communications — in particular, sending marketing (such as promotions to non-members) only to people who have agreed to receive it or who may lawfully be contacted under the "soft opt-in", and honouring unsubscribe requests. The relay must not be used for spam or bulk unsolicited email. We apply fair-use sending limits, and may pause the relay for a Customer whose emails cause complaints, bounces or blocking that put the service at risk for others; its website then sends emails itself.

9. Suspension

We may suspend all or part of the Services only where: (a) fees remain unpaid after the notice in section 5; (b) the Customer's use creates a real risk to the security or availability of the Services or to other customers; (c) the Customer is seriously breaching section 8; or (d) the law, a court or a regulator requires it. We will tell the Customer beforehand and give it a chance to put things right where we reasonably can; where we must act at once, we will tell it as soon as possible afterwards. We will limit the suspension to what is needed and restore the Services promptly once the reason has gone. Suspension does not delete Customer Data.

10. Updates, support and service levels

  • Updates are made available through the Software while the licence is active. The Customer should install them promptly, as some protect security and data.
  • Support is provided through the Software's Help & Support area and by email during UK business hours, with the level of priority set by the plan.
  • We use reasonable skill and care to keep the Services available, but they may sometimes be unavailable for maintenance or for reasons outside our control. Features that rely on third parties (such as email delivery, payments or push notifications) depend on those providers. The mail relay is designed so that, if it is unavailable, the Customer's website sends its emails itself.

11. Associations and networks

A Customer may join its association's network on Dojang Go, and may be hosted in its association's space. Where the association has an agreement with us, that agreement takes priority over these terms on fees and on how the network is run; on everything else, including data protection, these terms apply. Information is shared with the association only as the Customer chooses in Dojang Go. For information shared, the Customer and the association are each a separate controller, each responsible for its own use of it; we process it on behalf of each. A Customer may leave a network; the association may keep what was lawfully shared with it before then, under its own responsibility.

12. Support access and anonymised data

  • Support access is the Customer's choice. It is off by default. A club administrator can switch it on in Dojang Go for 14 days at a time; it then switches itself off. While it is on, our support team may see the Customer's activity log (with personal details masked where possible) and detailed health report, and run email diagnostics, only to provide support. Each time we look is recorded in the Customer's own activity log.
  • Anonymised data. Whether or not support access is on, the Software sends us aggregated, anonymised figures about the Customer's use of Dojang Go (such as totals and trends, and which features are used). These do not identify the Customer's End Users. We may use them, and combine them with figures from other customers, to improve features, plan capacity and provide general support, during and after this agreement. We will not publish anything that identifies the Customer without its agreement.

13. Data protection

Each party will comply with Data Protection Law. We use personal data about the Customer's contacts as controller, as described in our Privacy Policy. Where we process Customer Data on the Customer's behalf, the Data Processing Terms in the Schedule apply and form part of these terms. Anything we hold on dojang-go.com is used only for the purpose it was provided for.

14. Intellectual property and trade marks

The Software is licensed under the GPL (section 4). We (and our licensors) own the Services, our server software, our website and content, and the Dojang Go name, logo and other brand features, which are not licensed under the GPL: the Customer may use them only to refer to Dojang Go accurately, and not in the name of a modified version or a competing product. The Customer owns Customer Data and gives us the right to use it only to provide the Services and as these terms allow. If the Customer gives us feedback or suggestions, we may use them freely.

15. Confidentiality

Each party will keep the other's confidential information secret and use it only for this agreement, except where it is already public, is required by law, or is shared with advisers or subcontractors who are bound by confidentiality. This continues for five years after the agreement ends (and for as long as we hold Customer Data, for that data).

16. Warranties, indemnities and liability

  1. We will provide the Services with reasonable skill and care. Except as set out in these terms, the Software and Services are provided without other warranties, and we do not promise that they will be free of errors or meet every requirement. As the GPL says, the Software itself is provided without warranty, but that does not reduce our promises about the Services in these terms.
  2. Customer indemnity. The Customer will compensate us for losses, costs and claims brought against us by third parties (including regulators) that arise from Customer Data the Customer had no right to provide or use, emails it sends through the mail relay in breach of section 8, or its use of Dojang Go in breach of the law.
  3. Our indemnity. We will compensate the Customer for losses, costs and claims brought against it by a third party alleging that the Services, as we supply them and used in line with these terms, infringe that third party's intellectual property rights in the UK.
  4. A party seeking an indemnity must tell the other promptly, let it control the defence, and give reasonable help (at the other party's cost).
  5. Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot be limited by law.
  6. Subject to point 5, neither party is liable for loss of profits, revenue, business or goodwill, or for indirect or consequential loss; and each party's total liability arising from these terms in any 12-month period is limited to the greater of (a) the fees the Customer paid us in that period and (b) £500. The Customer's obligation to pay fees is not limited.
  7. Self-hosted Customers are responsible for their website and its backups; we are not liable for loss of Customer Data stored on the Customer's own website or hosting, except to the extent caused by our breach of these terms.

17. Term and ending the agreement

  • This agreement starts when the Customer accepts it and continues while the Customer has a licence. The Customer can end it at any time by cancelling (section 5).
  • Either party may end it if the other seriously breaches it and does not put the breach right within 30 days of being asked, or becomes insolvent.
  • When it ends, the Licence Key and Services stop, and features that depend on them stop working. The Software stays licensed under the GPL.
  • Self-hosted Customers: Customer Data stays in the Customer's own website database. We do not delete it and cannot. The Customer can export it from Dojang Go, and we will help on request.
  • Hosted Customers: we will, on request made within 30 days of the end, provide an export of Customer Data, and will then delete it within 30 days unless the law requires us to keep it.
  • Sections that by their nature should continue (including 12, 14–16 and the Data Processing Terms for as long as we hold Customer Data) survive.

18. Changes to these terms

We may update these terms, for example when we change the Services or the law changes. We will show the date and version at the top and give at least 30 days' notice of significant changes by email to the Customer's main contact and in Dojang Go, where a club administrator will be asked to review and accept them. If the Customer does not agree to a change that is to its material disadvantage, it may cancel before the change takes effect and receive a refund for any whole months already paid for but not used. Otherwise, continuing to use Dojang Go after a change takes effect means the Customer accepts it. Previous versions are available on request from infosec@parkerveese.com.

19. General

  • Neither party is liable for delays caused by events outside its reasonable control.
  • The Customer may not transfer this agreement without our consent (which we will not unreasonably refuse, for example when a club changes its officers or becomes a company); we may transfer it to another company that takes over Dojang Go, which will continue to honour it.
  • These terms (with the Privacy Policy, the order and any association agreement) are the whole agreement about Dojang Go. If any part is found unenforceable, the rest continues.
  • No one else has rights under these terms under the Contracts (Rights of Third Parties) Act 1999.
  • The Customer must not use Dojang Go in breach of UK sanctions or export laws, or if it or its owners are subject to UK sanctions.
  • Notices to us must be sent by email to infosec@parkerveese.com and, for notices of breach or termination, also by post to our registered office. Notices to the Customer are sent to its main contact email address.
  • These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction; but if the Customer is a consumer living in Scotland or Northern Ireland, it may also bring proceedings in its local courts.

Schedule: Data Processing Terms

These terms apply where we process personal data on the Customer's behalf (Article 28 UK GDPR). The Customer is the controller and we are the processor. If they conflict with the rest of these terms, these Data Processing Terms prevail.

Subject matter, duration, nature and purpose

Providing the Services: hosting club spaces on dojang-go.com, delivering emails through the mail relay, providing support (including support access while the Customer has it switched on, and email diagnostics), and enabling association networks the Customer chooses to join — for the duration of the agreement and any period afterwards during which we still hold Customer Data.

Types of personal data and data subjects

End Users' identity and contact details, membership, grading, attendance, event, payment status, messaging, incident and safeguarding records, and any other data the Customer puts into Dojang Go. This may include data about children, special category data (such as medical notes) and criminal offence data (such as disclosure check results) where the Customer chooses to record it.

The Customer's obligations

The Customer's instructions must comply with Data Protection Law. The Customer is responsible for having a lawful basis (and, for special category and criminal offence data, a condition and any appropriate policy document) for the data it asks us to process, for the information it gives End Users, and for taking account of the Children's Code where its members are children.

Our obligations

  1. We process Customer Data only on the Customer's documented instructions (these terms, the settings the Customer chooses and its use of the Software are its instructions), unless the law requires otherwise, in which case we will tell the Customer first unless the law prevents it. We will tell the Customer straight away if we think an instruction breaks Data Protection Law.
  2. Everyone we authorise to process Customer Data is bound by confidentiality and trained in handling personal data.
  3. We take appropriate technical and organisational security measures (Article 32 UK GDPR), including at least: encryption in transit (HTTPS/TLS); encryption of support conversations at rest; access limited to named staff who need it, with strong authentication; masking of personal details in support views; activity logging; regular backups of hosted data; prompt security updates; and regular review of these measures.
  4. We use the sub-processors listed in our Privacy Policy, under written contracts with protections equivalent to these. We will give the Customer at least 30 days' notice (in Dojang Go or by email) before adding or replacing a sub-processor that will process Customer Data. If the Customer objects on reasonable data protection grounds and we cannot address the objection, the Customer may end the affected Services and receive a refund of fees paid for the period after that. We remain responsible for our sub-processors.
  5. We transfer Customer Data outside the UK only with appropriate safeguards (UK adequacy regulations or the UK International Data Transfer Agreement or Addendum).
  6. We help the Customer, taking into account the nature of the processing, to respond to End Users' requests, and with security, breach notification, data protection impact assessments and consultation with the ICO. If an End User contacts us directly, we pass the request to the Customer.
  7. We tell the Customer without undue delay, and in any case within 48 hours, after becoming aware of a personal data breach affecting Customer Data, with the information the Customer needs to meet its obligations (as it becomes available), and we take reasonable steps to contain it.
  8. At the end of the Services, we delete or return Customer Data, at the Customer's choice, within 30 days, unless the law requires us to keep it. Emails sent through the mail relay are not retained.
  9. We make available the information needed to show compliance with these terms and allow audits, including inspections, by the Customer or an auditor it appoints who is bound by confidentiality: normally by written information first; otherwise on at least 30 days' notice, no more than once a year (or after a personal data breach, or where a regulator requires it), during business hours, and at the Customer's cost.
  10. Each party is liable for the damage it causes under Article 82 UK GDPR; as processor, we are liable only where we have not complied with our processor obligations or have acted outside or against the Customer's lawful instructions. Section 16 applies.
